How to Choose an IT Provider for a Medical or Dental Practice

Questions medical and dental practices should ask an IT provider about security, support, backups, documentation, vendor coordination and transitions.

A healthcare IT provider should be able to explain how it supports daily operations, protects access, documents the environment, coordinates vendors, and handles a transition without turning the practice into a technical experiment.

Ask how support actually works

Understand how users request help, when remote support is available, what happens during an outage, and how issues are escalated. Ask what is included in the agreement and what work is treated as a separate project.

Ask about security controls

The provider should be able to explain its approach to MFA, endpoint protection, patching, administrative access, remote connectivity, logging, network security, and backups without relying on vague claims that a single product makes the practice secure.

Ask about documentation and ownership

Network diagrams, device inventories, licensing, administrative access, vendor information, and recovery documentation should be maintained. The practice should understand who owns its domains, subscriptions, hardware, and business data.

Ask how vendors are coordinated

Medical and dental practices often depend on EHR, imaging, phone, internet, printer, and equipment vendors. A good MSP should define where its responsibility starts and ends and be able to coordinate technical troubleshooting across vendors.

Ask about transition and offboarding

A provider should have a controlled onboarding process and a professional offboarding process. Credentials, documentation, security agents, licensing, and equipment management should not become leverage that prevents a practice from changing providers.

Ask about healthcare-specific obligations

Discuss Business Associate Agreements where applicable and how the provider's services support the practice's safeguards. Be cautious of anyone promising that buying an IT service automatically makes a practice HIPAA compliant.
